Privacy Policy

Effective date: October 25, 2026 · Fransa Consulting Inc.

This Privacy Policy (the "Policy") explains how Fransa Consulting Inc. ("Fransa," "we," "us," or "our") collects, uses, discloses, retains, and protects information in connection with the MileMate app for Android (the "App") and the website at milemate.fransa.ca (the "Website," together with the App, the "Service").

By using the Service, you acknowledge that you have read this Policy. If you do not agree with it, do not use the Service.

1. Definitions

  • "Personal Data" or "Personal Information": information about an identified or identifiable individual, including an email address, a device or advertising identifier, and precise geolocation.
  • "Processing": any operation on Personal Data, including collection, storage, use, disclosure, and deletion.
  • "Google": Google LLC and its affiliates, which provide sign-in, billing, advertising, and backup services used by the Service.
  • "Premium": the paid subscription tier of the App, billed through Google Play.
  • "Cloud Sync": the optional Premium feature that backs up App data to your own Google Drive.
  • "Sale" and "Share": as defined in the California Consumer Privacy Act, as amended (the "CCPA").
  • "you" or "User": any individual who uses the App or visits the Website.

2. Scope and Data Controller

The Service is operated by Fransa Consulting Inc., Brampton, Ontario, Canada. Fransa is the controller of, and the organization accountable for, Personal Data Processed through the Service. The Service is intended primarily for Users in Canada.

Person in charge. Under the Quebec Act respecting the protection of personal information in the private sector, the person in charge of the protection of personal information is the President of Fransa Consulting Inc., who is also accountable for compliance with PIPEDA. Contact: fransa.corp@outlook.com.

Governance. The person in charge approves this Policy; handles requests and complaints; keeps a register of confidentiality incidents; and conducts a privacy impact assessment before any new or substantially changed system involving Personal Data is used, and before Personal Data is communicated outside Quebec.

3. Summary of Our Data Practices

This summary is for convenience; the rest of this Policy governs.

  • No MileMate servers. Trip, location, and vehicle records are stored on your device and, only if you enable Cloud Sync, in your own Google Drive. We do not receive or store them.
  • No sale. We do not sell or rent Personal Data. The free tier is supported by ads served by Google AdMob.
  • Google collects some data directly. Google Sign-In, Google Play Billing, Google AdMob, and Google Drive collect information directly from your device under Google's privacy policy. We receive only what a feature needs, such as whether a subscription is active.

4. Information We Collect

4.1 Information Stored on Your Device

The App stores the following in an encrypted database on your device:

  • Vehicle and trip records: vehicle names, odometer entries, trip classifications (Business, Personal, Commute), purpose presets, and notes.
  • Location: automatic trip detection requires precise location, including in the background. Location points and derived addresses are used to detect when trips start and end and are not sent to any server we operate.

Cloud Sync. If you enable Cloud Sync, a backup is written to your Google Drive under a permission limited to the backup file the App creates. That backup is protected by your Google account's security, not by additional encryption from us.

Android system backup. The App opts out of Android's automatic backup and device-to-device transfer, so your trip and vehicle data is not included in your device's Google account backup or copied to a new device. Earlier versions of the App did not opt out; if you used one with Android backup turned on, a copy of the App's encrypted database may remain in your Google account backup, which you can review or delete at drive.google.com/drive/backups.

4.2 Information Collected by Google

  • Sign-in profile (Cloud Sync only): your name, email address, and profile photo, provided by Google Sign-In to authenticate you.
  • Subscription status: Google Play Billing processes payment. We never receive payment details, only whether your subscription is active.
  • Advertising identifier (free tier only): Google AdMob may use your device's advertising identifier to select and measure ads.
  • Diagnostics: Google Play may give us aggregated, de-identified performance data. We add no other analytics or tracking to the App.

4.3 Information You Send Us

If you email us, including to ask to be told when the iPhone app launches, we keep your email address and message to respond. We use a launch request only to send that one notice, then delete it. Other correspondence is kept only as long as needed to resolve your request.

4.4 Information We Do Not Access

We do not access your contacts, photos, messages, call history, browsing history, other Google Drive content, or payment card or bank details.

5. Cookies and Similar Technologies

This Section applies to the Website. The App does not use browser cookies.

  • Google Ads tag: only if you select "Accept" in the cookie notice, the Website loads the Google Ads tag (gtag.js) to measure whether visits from our Google Ads campaigns lead to App installs. It may set cookies and collect your IP address, browser and device details, pages viewed, and the referring ad. Google collects this under its own privacy policy; we receive only aggregated reports. Until you accept, the tag is not loaded.
  • No analytics: the Website uses no analytics service.
  • Your choices: change or withdraw your choice at any time through "Cookie settings" in the Website footer; manage ad personalization at myadcenter.google.com; or block cookies in your browser. Your choice is stored only in your browser.
  • Fonts: served from the Website itself, not from third parties.

If we change the cookies or similar technologies we use, we will update this Section and the effective date.

Where the law requires a legal basis, we rely on:

  • Consent: background location, Google Sign-In and Cloud Sync, biometric app lock, and personalized ads. You may withdraw consent at any time (see Section 12), which may disable the related feature.
  • Contract: to provide trip tracking, classification, reports, and your Premium subscription.
  • Legal obligation: to comply with the law and lawful requests from authorities.
  • Legitimate interests: to protect the Service from fraud and abuse and keep it reliable.

7. How We Use Information

  • To detect, record, and classify your trips on your device.
  • To generate PDF and CSV mileage reports using the Canada Revenue Agency (CRA) rates you configure.
  • To enable Premium features once Google confirms an active subscription.
  • To show ads through Google AdMob on the free tier, and to give ad-free periods when you watch a rewarded ad.
  • To keep the App reliable, using only the aggregated diagnostics in Section 4.2.
  • To comply with the law and enforce our terms.

We never use your trip, location, or vehicle records for advertising.

8. How We Disclose Information

We do not sell Personal Data. Information is disclosed only as follows:

  • Google services: as described in Section 4.2, these exchange information directly between your device and Google.
  • Advertising (California): AdMob's use of your advertising identifier for personalized ads may be a "Share" under the CCPA. You may opt out as described in Section 12.2.
  • Legal requirements: where we believe in good faith that disclosure is required by law or necessary to protect the rights, property, or safety of Fransa, our Users, or the public.
  • Business transfers: in a merger, acquisition, or sale of assets, the limited Personal Data we hold may transfer. We will give notice before it becomes subject to a materially different privacy policy.

9. International Data Transfers

We do not operate servers that store User Personal Data, so we do not transfer your trip or location data internationally. Information Processed by Google (Section 4.2) may be stored in the United States or other countries under Google's safeguards, including, where applicable, the EU-U.S. Data Privacy Framework and Standard Contractual Clauses.

10. Data Retention

  • Trip, vehicle, and report data: kept on your device until you delete it or uninstall the App, then permanently removed. We keep no copy. For any copy Android may hold from an earlier version of the App, see Section 4.1.
  • Cloud Sync backups: kept in your Google Drive until you delete them or revoke the App's Drive access.
  • Subscription status: kept while your subscription is active and for up to 90 days afterward, for billing disputes or reactivation.
  • Advertising identifiers: not stored by us; Google retains them under its own practices.

When Personal Data is no longer needed, it is destroyed or anonymized.

11. Data Security

We protect Personal Data with reasonable measures, including on-device encryption, an optional biometric lock, Drive access limited to the App's own backup file, and not storing User Personal Data on our own servers. Cloud Sync backups are protected by your Google account's security. No method of storage or transmission is completely secure.

Confidentiality incidents. If an incident involving Personal Data under our control presents a risk of serious injury or a real risk of significant harm, we will notify the Commission d'accès à l'information du Québec and the Office of the Privacy Commissioner of Canada, as applicable, and affected individuals, as required by law. We record every incident in a register.

12. Your Rights and Choices

12.1 Canada

Under PIPEDA and applicable provincial law, you may request access to and correction of your Personal Data, and withdraw your consent, subject to legal or contractual limits. We respond to access and correction requests in writing within 30 days. You may complain to the Office of the Privacy Commissioner of Canada.

Quebec residents may also: receive computerized personal information collected from them, to the extent we hold it, in a structured, commonly used format, or have it sent to a person they designate; ask us to cease disseminating their information or de-index a hyperlink attached to their name, where the law allows; and be informed of information used in a decision based exclusively on automated processing (the Service makes no such decisions). You may complain to the Commission d'accès à l'information du Québec.

12.2 California Residents

California residents may, subject to exceptions: know and access, delete, and correct their Personal Information; opt out of its Sale or Share, by adjusting Google Ads Settings or resetting or deleting their advertising ID in Android settings; limit the use of sensitive Personal Information (precise location is used only for trip tracking and stays on the device); and exercise these rights without discrimination. Requests may be made by you or an authorized agent, and we will verify them using the email address associated with your use of the Service.

12.3 Users in Other Jurisdictions

If you are in the European Economic Area, the United Kingdom, or another jurisdiction with comprehensive privacy law, you may have additional rights, including rectification, erasure, restriction, portability, objection, and complaint to your local supervisory authority. Contact us to exercise them.

12.4 Managing Your Information

  • Revoke location access in Android settings. This stops automatic trip detection but keeps existing records.
  • Delete vehicles, trips, or reports in the App.
  • Uninstall the App to permanently delete its local database.
  • Delete your Cloud Sync backup in Google Drive, or revoke the App's access in your Google Account permissions.
  • Cancel Premium in Google Play Store → Subscriptions. This stops billing but does not delete stored data.

To exercise any right in this Section, contact us as described in Section 16.

13. Children's Privacy

The Service is intended for licensed drivers and is not directed to children. We do not knowingly collect Personal Data from children under 14, or a higher minimum age where applicable. If we learn we have, we will delete it promptly. Parents or guardians may contact us as described in Section 16.

14. Third-Party Websites and Services

The Service links to third-party sites we do not control, including Google's account, ads, and Drive pages and privacy regulators' websites. Their own privacy policies apply.

15. Changes to This Policy

We may update this Policy. We will post the updated version here with a new effective date and, for material changes, give additional notice, such as an in-app notification, before they take effect. Continued use of the Service after that date means you accept the changes.
